Planning large-scale events requires a structured approach from concept development through execution. Each stage of the process is critical to the event's success, involving multiple stakeholders and complex logistics. My approach begins with event concept development, which sets the foundation for all subsequent planning.

Event Concept Development: I start by evaluating the regional event calendar and identifying opportunities for growth, potential gaps, and areas for innovation. Through facilitated brainstorming sessions, I guide teams to refine the event calendar, aligning with current trends, audience preferences, and organizational goals. From here, I help create a long-term strategy that spans three to five years, with a detailed growth plan focusing on increasing attendance, boosting revenue, and adapting to the evolving needs of guests, vendors, and stakeholders. This strategy ensures that the event remains relevant and competitive over time.
Site Planning: With the concept established, I focus on site planning, a complex process involving traffic flows for vehicles, guests, vendors, and staff to ensure smooth operations. Starting with an initial site survey, I design layouts that optimize crowd flow, positioning everything from entry gates and stages to security checkpoints and vendor stations. My attention to traffic logistics helps prevent bottlenecks and keeps each area accessible and organized.
Event Build: Coordinating the build phase is where detailed planning truly comes to life. I map out the installation sequence, determining the order for setting up tents, stages, vendor booths, lighting, and audiovisual systems. I aim to ensure that every aspect is set up efficiently, carefully overseeing each step so the event infrastructure is solid and ready well before opening.
Site Maintenance: Maintaining the site’s functionality during the event is critical to the guest experience. My approach involves conducting regular checks and making timely repairs or adjustments as needed. Whether it’s keeping pathways clear, ensuring waste disposal stations are accessible, or troubleshooting technical issues, I ensure that every element remains in optimal working order throughout the event.
Event Strike: After the event, a well-coordinated strike process is essential. I oversee the dismantling of all temporary structures and systems, following a clear sequence that maintains efficiency and thoroughness. From closing the gates to the final site walk-through, I ensure the venue is left pristine, meeting all standards set by the venue and local authorities. Each component is integral to delivering a successful event, and every detail, from initial concept to post-event clean-up, is carefully considered.
